About the role:

Elemental Machines is looking for an experienced, full-time Event Coordinator, reporting to the Director of Marketing.

The candidate will oversee the execution of 8-10 tradeshows per year, as well as multiple quarterly partner lunches and happy hours. This is a remote position, but the candidate must be willing to travel to multiple events to oversee setup and execution as needed (up to 35% travel may be required). Candidates located in the Greater Boston region will be given preference.

 

Objectives of this role:

  • Oversee the planning and execution of at least 8-10 tradeshow appearances per year, ensuring the timely and successful delivery of each event according to needs and strategic objectives
  • Assist the Alliances marketer with planning and execution of multiple, quarterly partner lunches
  • Take part in planning and execution of every aspect of an event, from tactics to success metrics
  • Manage event budgets and timelines
  • Uphold the company’s mission and vision with every event
  • Comply with all national and local regulations
  • Take ownership over Event-generated data. Input into company CRM platform and provide data analysis/key conclusions.

Responsibilities:

  • Operate as the lead point of contact for all matters specific to your events and serve as the liaison between Elemental Machines clients/partners and internal teams
  • Develop a complete understanding of the requirements for every event, executing tactical day-to-day needs while also managing upcoming deadlines
  • Keep attendees and stakeholders apprised of progress, run pre-show meetings with attendees
  • Research and reserve vendors for client/prospect happy hours or dinners and make selections based on location and quality
  • Manage relationship with trade show house
  • Complete show orders, show summaries, booth schedules, etc.
  • Manage abstract deadlines
  • Manage logistics for Elemental Machines event attendees (hotel reservations, registration badges, etc.)
  • Oversee booth setup and tear down, and provide on-site event support
  • Determine content needs for event materials and work with Marketing team & SMEs to produce
  • Work with event staff to make sure all event needs are met (ex. passes, WiFi, exhibit space, etc.)
  • Handle day-to-day administration of events and programs, including order placements, coordination with internal EM support teams, event-related shipments, vendor monitoring, speaking engagements, reservations and planning for event-related happy hours and dinners, guerilla tactics, and issue resolution

Required skills and qualifications:

  • Experience in event planning or event coordination in a corporate environment
  • Able to work in a fast-paced, quality and results focused environment
  • Proven track record of creative, successful events
  • Must be able to simultaneously focus on big picture, details, and driving results
  • Experience working with colleagues in graphic design, sales, marketing, and finance
  • Excellent organizational, communication, negotiating, and multitasking skills
  • Ability to remain calm under pressure and maintain a customer-service mindset
  • Solution oriented
  • Proactive and thorough communicator, both verbal and written
  • Ability to lift 40 pounds, unassisted

Preferred skills and qualifications:

  • Bachelor’s degree (or comparable work experience) in hospitality management, event management, public relations, communications, or a similar field
  • Experience in managing budgets and tracking expenses
  • Advanced knowledge of PowerPoint, Acrobat, and Excel
